Privacy Policy

The Probus Club of Cabarita and Breakfast Point Inc. is subject to the requirements of the Privacy Act 1988 which regulates how the personal information provided by members is handled.

The Club shall comply with the Australian Information Privacy Principles set out in the Privacy Act and shall not disclose any information, except in accordance with the provisions of the Act, and then only with the individual’s consent or for health and safety and law and enforcement purposes.

Members

A condition of membership is that each member consents to personal information in the form of his/her name, residential address, landline and mobile telephone numbers, e-mail address, and the office held in the Club(where necessary) being included in a membership list. Members are asked to provide spouse/partner names (where applicable) and emergency contact details.

The Membership Application Form shall have an endorsement: Information given in this application is kept private and confidential and may only be used within the confines of Probus and shall not be used for any other purpose.

Club Internal Directory

Any approved members’ listing for internal distribution shall contain each member’s name, preferred phone number, e-mail address and spouse/partner name (where applicable). Members may request withdrawal of their personal details prior to the list being circulated.

The Directory is to include this endorsement: This listing and the details it contains, is for the exclusive use of the Probus Club of Cabarita and Breakfast Point Inc. members. No information contained in this listing may be passed to any outside person or agency.

Club Website, Weekly Update, E-mail and any Newsletter

The website, weekly update and any newsletter will not publish member’s personal details without their consent and will include this endorsement: Private and confidential for Probus use only and not to be used for any other purpose.

The weekly update and any newsletters will be distributed by blind copy (bcc) e-mail or as a hard copy. Blind copy protocol will be followed when group e-mails are sent to all members.

Group photographs of members on the website or any newsletter will be published without individual identification. Identification of any member in a published photograph can only be done with their consent.

Welfare

Individual members are fully responsible for the state of their health and medical information is not collected and held by the Club. Medical condition details will not be made available to any person or body without prior approval of the member, unless they are disclosed for the purpose of providing medical assistance.

When the Club is advised of a member’s death, unless the family has asked for confidentiality, all members will be advised by e-mail or through the weekly update. Funeral details will also be advised. It will be noted on the website and the President will mention it at the next Club meeting.
